The ideal candidate should be dynamic, able to adjust to an ever changing environment and think on their feet. They will have good communication skills and be able to work in a team as well as on their own initiative.

About the role

The facilities coordinator is responsible for the day-to-day operations of a building, ensuring it remains safe and functional by managing maintenance and repairs , handling supply purchases, and maintaining compliance with safety regulations, effectively creating a suitable work environment for employees; they may also assist with event planning and office renovations when needed.

What you will be doing

  • Maintenance management:
  • Schedule and coordinate building maintenance activities, including repairs, inspections, and preventative upkeep, by working with vendors and contractors. 
  • Vendor management:
  • Source and manage relationships with service providers for HVAC, security, and other facility needs. 
  • Safety compliance:
  • Ensure adherence to health and safety regulations, conducting regular safety inspections and addressing any hazards. 
  • Work order processing:
  • Receive and prioritize maintenance requests from employees, assigning tasks to appropriate personnel. 
  • Budgeting:
  • Track facility-related expenses and manage budgets for maintenance and repairs. (Basic)
  • Communication:
  • Act as a liaison between building occupants, management, and outside vendors, addressing concerns and coordinating necessary actions. 
  • Space planning:
  • Assist with office reconfigurations, furniture moves, and space utilization planning. 
  • Emergency response:
  • Coordinate emergency response procedures in case of incidents like power outages, fire alarms, or other disruptions. 
  • Required skills:
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Problem-solving and decision-making skills
  • Knowledge of building systems and maintenance procedures
  • Proficiency with facility management software
  • Understanding of safety regulations and compliance requirements

Minimum requirements (qualifications, skills and experience, other)

  • Proven experience as a maintenance supervisor or similar role( 2years minimum)
  • Technical knowledge of all building systems (electrical, HVAC etc.)
  • Knowledge of health & safety practices and regulations
  • Understanding of budgeting and performance management(Basic)
  • Excellent planning and leadership abilities
  • An eye for detail
  • Proficient in Microsoft Word, Excel and Outlook
  • Excellent communication and interpersonal skills
  • National Senior Certificate (Matric) is a must; Degree from a vocational school will be a plus
  • Professional Certifications (e.g. ESA, PIRB, CMRP or HVAC certified) will be beneficial
