What we are looking for

A seasoned and trusted second in command and strategic partner to the CEO with extensive experience in strategic operations, project management, and company administration extending beyond traditional executive support to drive efficiencies and organisational success. The ideal candidate will have analytical prowess, problem-solving abilities, and strong interpersonal skills.


Purpose of the Role

To provide advanced operational and administrative support to help shape the company's direction and manage key functions company-wide that enable the CEO to lead effectively.



What you will be doing

Strategic & Operational Support:


  • Partner with the CEO to provide executive-level support, insights, and analytical perspectives on strategic planning and decision-making.
  • Track and oversee cross-functional projects and key task progress.
  • Chair and lead the company's management committee (ManCo).
  • Work closely with the Executives to assess data and department reports, and provide recommendations for the CEO’s strategic plans, reports, and decisions.


Executive Administration:


  • Provide traditional EA support.
  • Handle confidential matters with discretion and professionalism.
  • Manage and coordinate committee admin (agendas, minutes, action items), and scheduling and preparation from Board of Directors level to the Management Committee level.
  • Plan, coordinate, and schedule meetings and events involving the CEO.
  • Develop and maintain company pitch decks.
  • Prepare all materials, manage logistics, and ensure smooth execution of all meetings (Board, CEO, Executive, Management) and staff events.
  • Manage and oversee all company secretarial duties.



Stakeholder Management:


  • Draft, edit, refine, and finalise communications, including executive-level presentations, reports, and correspondence.
  • Develop and maintain positive relationships with all stakeholders, representing the CEO’s office and fostering collaboration.
  • Mediate conflicts or competing priorities among leadership teams.
  • Act as the primary point of contact between the CEO and key stakeholders, managing requests, enquiries, and internal and external relations.


Governance:


  • Manage company secretarial responsibilities and ensure governance documentation is maintained.
  • Work with the VP of People & Organisation to maintain company records, policies, and administration required for compliance with the Company's Act.

Qualifications and Experience

Bachelor’s degree in Business, Law, Management or similar.


  • Minimum of 5 years of experience in a similar role - Senior Executive Assistant and/or Chief of Staff.
  • Prior experience as a consultant in operations or data analysis, or consulting firm experience, is preferred.
  • Proven ability to oversee and advance company secretarial functions, ensuring compliance with company laws and governance standards.
  • Self-starter with a strong work ethic and a sense of ownership and accountability.
  • Ability to break down complex problems into manageable parts and approach them methodically.
  • Flexible schedule and able to effectively support the CEO.
  • Excellent command of the English language, both verbal and written.
  • Attention to detail and accuracy are essential.
  • Must be able to deliver before or by required deadlines.
  • Problem-solving and proactive, with strong decision-making skills.
  • Able to prioritise tasks and manage expectations.
  • Excellent time and stakeholder management.
  • Advanced computer literacy (MS Office, Google Suite, task management software such as Jira).
