What we are looking for

A seasoned Facilities Manager with a blend of technical, managerial, interpersonal, administrative, property management and organisational skills.



About the role

The Facilities Manager is responsible for planning, coordinating and maintaining all of the company’s office and warehouse infrastructure, IT support operations, fleet and asset management. This includes finding new office and warehouse locations, securing lease agreements and managing fit-out or renovation projects. The role is a middle management level and reports to the VP of Staff Operations and Administration.



What you will be doing

  • Search for new office spaces nationally as per company specifications.
  • Monitor and maintain all office spaces.
  • Manage all lease agreements and relationships with landlords.
  • Oversee all company property and maintain an inventory of all movable and immovable assets.
  • Plan, organise and manage all office fit-out or renovation projects including floor plan designs and council submissions, general office related administrative requirements and contractors.
  • Plan and manage office moves and layout changes.
  • Optimise the use of office spaces and warehouses.
  • Ensure proper documentation and tracking of asset lifecycle, from acquisition to disposal.
  • Perform weekly and monthly audits on IT and office equipment, and company fleet.
  • Manage and monitor the IT support function including system and device access controls.
  • Ensure office access controls are maintained and security surveillance systems are effectively monitored.
  • Negotiate contracts and quotations with suppliers and contractors.
  • Assess and manage relevant contract, quotation and lease agreement terms and conditions.
  • Source quotations, place orders with suppliers, manage deliveries and office installations.
  • Review the company’s insurance policy on a quarterly basis and attend to insurance claims.
  • Ensure compliance with occupational health and safety regulations.
  • Monitor energy and water usage and implement energy and water saving initiatives.


Minimum requirements (qualifications, skills, experience)

  • Bachelor’s degree in facilities management, engineering, business administration, property management or a related field.
  • Several years of experience in a similar position at a managerial level.
  • Strong knowledge of building systems, maintenance procedures, and safety regulations.
  • Strong communication and interpersonal skills.
  • Proficiency in facilities and IT management software and systems.
  • Strong negotiation skills.
  • Project management.
  • Highly organised and strong attention to detail.
