What we are looking for

A seasoned Office Administrator with extensive experience in managing and overseeing office operations and administration to join our Cape Town based team.

About the role

The Office Administrator will report directly to the VP of Staff Operations and Administration, and provide administrative support to the Company’s CEO.

What you will be doing

  • Work closely with the VP to manage and maintain office spaces, company administration and compliance requirements.
  • Assist the CEO with administrative tasks including the tracking, reporting and follow-up of management actions.
  • Perform weekly checks and keep track of all electronic equipment, appliances, furniture, decorative items, plants and fixtures.
  • Keep track of supplier contracts and service agreements.
  • Attend specific meetings for minute taking and action plan tracking.
  • Plan and organize all staff events.
  • Maintain relevant records, reports and databases.
  • Assist with searching for new office locations, relevant administrative requirements, planning and fit-out.
  • Monitor and track relevant office management operations nationally.
  • Manage the reception desk, attend to visitors, contractors and deliveries.
  • Coordinate and manage all travel arrangements (flights, accommodation, car hire, VISA applications, venue bookings, etc.)
  • Draft, edit, refine and finalize executive-level presentations, reports, and correspondence.
  • Develop and maintain positive relationships with office landlords, relevant suppliers and service providers.
  • Prepare all materials, manage logistics, and ensure smooth execution of executive meetings and events.
  • Manage the head office cleaning team and office supplies.


Required Qualifications

Bachelor’s degree or advanced diploma in Business Administration or related field.


Relevant Skills / Experience

  • 3+ years of recent experience in an Executive Assistant or Office Administration role.
  • Experience working with a growing and diverse team.
  • Excellent organizational skills.
  • Good understanding of POPIA, PAIA and OHSACT.
  • Self-starter with a strong work ethic and a sense of ownership and accountability.
  • Flexible and able to work long hours if needed.
  • Excellent command of the English language, both verbal and written.  Xhosa speaking or understanding will be an advantage.
