About Improve

Improve International was established in 1998 by a group of veterinary surgeons from across the UK. We run Continuous Professional Development training from veterinary professionals to help develop the skills and knowledge required in practice. 


Our programmes utilise a combination of review lectures, case-based discussion and, where applicable, hands-on practical sessions. Within Improve we also have the function of ‘The International School of Veterinary Postgraduate Studies (ISVPS)’. This function is dedicated to providing veterinary surgeons, nurses and technicians with high quality, achievable qualifications that are recognised internationally. We are an international organisation with offices in the UK and Portugal. 


Job Purpose

THIS IS AN INTERNAL ROLE ONLY



We are seeking a detail-oriented and proactive Accounts Payable (AP) Coordinator to join our finance team. The ideal candidate will be responsible for managing and maintaining the company’s accounts payable process, ensuring accurate and timely processing of invoices, payments, and reconciliations. This role requires excellent organizational skills, attention to detail, and the ability to communicate effectively with internal teams and external vendors. Fluency in English is mandatory. In addition, the candidate will be responsible for leading the AP team, ensuring the team operates efficiently and meets its objectives.

Key Responsibilities

  • Team Leadership: Lead, mentor, and oversee the Accounts Payable team, ensuring that the team members are meeting performance standards and deadlines, while maintaining a high level of accuracy of accounting standards.
  • Invoice Processing: Review, verify, and process vendor invoices for appropriate documentation, coding, and approvals before entering them into the accounting system.
  • Vendor Management: Maintain accurate and up-to-date records of vendor accounts, resolve any discrepancies, and respond to vendor inquiries promptly.
  • Payment Processing: making sure that is in line with company policies and timelines.
  • Reconciliation: Reconcile accounts payable transactions, including monthly vendor statements and accounts payable ledger, to ensure accuracy and resolve any discrepancies.
  • Expense Reports: Review and process employee expense reports, ensuring compliance with company policies and proper documentation.
  • Compliance and Documentation: Ensure proper documentation and filing of all accounts payable records for audit and tax purposes.
  • Month-End Closing: Assist with month-end closing activities, including accruals and reconciliations, to ensure all expenses are recorded in the appropriate period.
  • Collaboration: Work closely with the finance team and other departments to ensure smooth financial operations as needed.
  • Process Improvement: Identify opportunities to streamline and improve the accounts payable process to increase efficiency and reduce errors.

Requirements

Education: Bachelor’s degree in accounting, Finance, or a related field is preferred (or equivalent experience).


Experience: 2+ years of experience in accounts payable or a related finance role.


Technical Skills: Proficiency in accounting software (Sage Intacct and Sage 50) and Microsoft Office Suite, particularly Excel.


Language: Fluency in English is mandatory. Strong written and verbal communication skills in English are required.


Attention to Detail: Strong analytical skills with a high level of accuracy in processing financial transactions.


Communication: Excellent written and verbal communication skills, with the ability to interact professionally with vendors and internal teams.


Time Management: Ability to prioritize tasks and manage time effectively in a fast-paced environment.


Problem Solving: Strong problem-solving skills with the ability to resolve discrepancies and issues independently.

Benefits

Annual Leave Entitlement: 23 days plus public holidays, plus additional service dates after 3 years one additional holiday, and after 10 year one additional holiday, to a maximum of 25.


Additional Leave: Our offices close annually for the afternoon on Christmas Eve and New Year's Eve globally. All employees are provided with company paid leave for these periods.


Weekly Hours: 40 


Location: Central city location (Porto) near public transportation. Office based role but hybrid working available - usually 3 days in the office and 2 working from home.
