Salary: £26,000.00 - £33,800.00 per annum

Purpose of the job

The Operational Governance Administrator provides administrative support to the Senior Operations Team, working to the Operational Governance Manager, providing assurance around systems and reporting and analysing data and trends.

The Operational Governance Administrator supports the operational management team in striving to achieve a high standard of service delivery and customer satisfaction, delivering consistently against Key Performance Indicators (KPI’s).



This is a home-based role.


Duties and Responsibilities

Procedures

  • Ensure that all room measurements for Dispersal Accommodation, are recorded on the system analyse the report weekly to identify any gaps.
  • Ensure that operational Standard Operating Procedures are reviewed in line with required timescales.
  • Compile the overstayer report weekly and disseminate information to the Strategic Operational Leads for action.
  • Monitor voids weekly and disseminate to Strategic Operational Leads for action and oversight.
  • Ensure that Safeguarding information for dispersals is transferred to CCMS from IA Trans and is readily available for Housing Officers prior to the dispersal taking place.
  • Ensure that Home Office enquiries, and all other stakeholder enquiries, are recorded and responded to on time with a clear record maintained.
  • Run property inspection report and welfare check report weekly, analyse and disseminate to Strategic Operational Leads, with a progress overview, for action and oversight.
  • Manage the meeting diary and retain meeting minutes and Terms of Reference documents, for the operational team.
  • Run the absentee report weekly to ensure that Housing Officers have completed a return visit within 7 days.
  • Track performance against Key Performance Indicators, including defects, welfare checks, dispersals and property inspections, analysing the dashboard and creating a performance delivery document to be presented to the Director of Operations weekly.
  • Run the property report weekly and transfer to a property oversight document, disseminating to the Strategic Operational Leads, identifying any increases and decreases within the regions. Analyse the pipeline documents and identify new properties coming on board, to ensure that Strategic Operational Leads are briefed and able to manage recruitment processes in line with this.
  • Complete daily returns for Initial Accommodation Cardiff.
  • Complete all other administrative task for the wider operations function, as requested.
  • Liaise with internal and external stakeholders and ensure required tasks are completed correctly.
  • Additional oversight of the Service Centre mailbox daily.
  • Ensure that CCMS, IA Trans and Athens are kept up to date, as required within your areas of responsibility.

  • Work closely with your Line Manager and team members.
  • Collaborate with others, attending meetings as required and recording minutes where required.
  • Supporting team members and provide on-the-job training.
  • Provide cover for other staff as agreed by Line Manager.

  • Ensure all records are maintained and kept up to date according to company policies and procedures
  • Communicate with external suppliers and customers as required.
  • Be responsive to external and internal communications.
  • To ensure internal audit and compliance criteria are met and that all activities conform to agreed company systems, policies and procedures.
  • Any other duties within the scope of responsibility and ability, as required, inclusive of providing similar support to any other local company projects or departments.
