Salary: £32,983.00 per annum

Purpose of the role

Reporting to the UASC and Care Leaver Placements Team Leader, the UASC and Care Leaver Placement Team Co-ordinator is responsible for coordinating, monitoring, and quality‑assuring placement activity for Unaccompanied Asylum‑Seeking Children (UASC), Children in Need (CIN), Children in Care and Care Leavers. The role ensures that all placement requests, matching decisions, risk assessments, and associated documentation are completed to a high standard and in line with statutory guidance, safeguarding expectations, and local authority procedures.

 

The postholder plays a key role in ensuring young people are placed in safe, suitable accommodation that meets their individual needs, supports their stability, and promotes positive outcomes. This includes leading on the administrative, coordination, and compliance functions of the placement process, liaising with providers, social work teams, and partner agencies to ensure a timely and legally compliant service.

Duties and Responsibilities

Procedures

  • Coordinate and manage placement requests from initial referral through to Review young people’s needs, histories, and presenting risks to ensure accurate and informed matching with appropriate accommodation providers.
  • Undertake placement matching checks, ensuring compatibility with provider experience, staffing levels, skillset, registration type, cultural needs, and safeguarding considerations.
  • Maintain an up‑to‑date understanding of available internal and external placement options, including supported accommodation, semi‑independent provision, host families, and specialist services.
  • Ensure all placement decisions are fully documented, evidence‑based, and compliant with statutory and local placement procedures.
  • Review and quality‑assure risk assessments for each young person prior to placement, ensuring risks are clearly identified and effectively communicated to providers.
  • Liaise with Personal Advisors, Social Workers, Young Offender Teams, IROs, Missing Teams, and external agencies to gather safeguarding intelligence relevant to placement decisions.
  • Ensure provider‑specific risk assessments and Safety Plans are completed, updated, and securely stored.
  • Escalate safeguarding concerns promptly to managers and contribute to risk‑management planning meetings where required.
  • Monitor and track risks post‑placement, supporting the team to ensure ongoing suitability and safety.
  • Ensure all required placement paperwork is completed in accordance with statutory guidance, including Placement Plans, matching records, risk assessments, and financial approvals where stipulated.
  • Maintain accurate placement records, case notes, and audit‑ready documentation on the local authority case management system.
  • Prepare and issue placement agreements, provider contracts, and notification letters in a timely and compliant manner.
  • Track renewal dates, licence agreements, and provider compliance requirements, ensuring documentation is updated and reviewed as required.
  • Support preparations for Ofsted, internal audits, and quality assurance checks by providing accurate data and documentation.
  • Administration of the children’s contracts, ensuring all records are maintained in line with company procedure.
  • Meeting both your own Key Performance Objectives and actively supporting the team to meet their objectives and meet the requirements of the contract(s)
  • Planning and managing personal business objectives in line with the contract Individually performing internal audits as assigned as part of compliance with the contract KPI.
  • Internal audit planning, scoping, fieldwork, and reporting.
  • Attending meetings with Stakeholders and CRH management to validate audit findings, and in partnership with the business developing pragmatic and commercial audit recommendations that will mitigate the identified risks.
  • Communicating the findings from internal audits confidently and articulately to the business.
  • Dealing with data processing, service contract administration, supporting with the collation and presentation of KPI's.
  • Ensure queries are resolved within the fastest possible timescales via phone and email.
  • Enable smooth and compliant delivery of service.
  • Work within internal procedures to ensure that key performance indicators are met with no faults.
  • To ensure all records are maintained in accordance with operational requirements.
  • Allocation and booking of bedspaces.
  • Track data monthly ensuring accuracy.
  • Managing the portfolio of bedspaces and properties ensuring contractual demand is met in line with KPIs
  • To ensure all safeguarding issues are addressed and signposted in accordance with the company policies and procedures.
  • Coordinate and liaise with team members to ensure cohesive and compliant delivery of service.
  • Ensure completion and accuracy of required documentation for properties across the portfolio and ensuring that these are audited and updated regularly.

 

 Connect and Collaborate

  • Act as a key point of contact for accommodation providers, ensuring effective communication, clarity of expectations, and prompt sharing of information.
  • Liaise closely with social work teams, Personal Advisers, Virtual School, Health, Support the coordination of provider meetings, placement stability discussions, disruption meetings, and provider reviews.
  • Develop positive working relationships with providers to support placement quality, consistency, and sustainability.
  • Work closely with your line manager and team members.
  • Collaborate with others, attending meetings as required.
  • Supporting team members and provide on-the-job training.
  • Provide cover for other staff as agreed by line manager or UASC & Care Leaver Business Support Service Manager.

  • Maintain accurate tracking systems for placement availability, young person movements, risk changes, and placement status.
  • Monitor UASC‑specific information such as age assessments, immigration status, Home Office updates, and support entitlements.
  • Produce regular data reports for managers, panels, or strategic meetings, highlighting trends, risks, or gaps in provision.
  • Keep up to date with all written and verbal communications (i.e., emails/messages/calls)
  • Ensure all records are maintained and kept up to date according to company policies and procedures.

  • A full UK driving licence and use of own vehicle. The role involves working from home with occasional travel required to Whitstable.
  • Monitor own work levels, progress and development in the role.
  • Undertake relevant learning according to agreed Personal Development Plan.

  • Support induction, training, and guidance for new staff regarding placement processes, matching, and documentation standards.
  • Participate in team meetings, workshops, and service development activities to strengthen placement practice.
  • Promote high‑quality, trauma‑informed, culturally sensitive placement work for UASC and Care Leavers.
  • Maintain a good understanding of the legislation of the contract.
  • You will be required to make sure the service is in line with OFSTED Government guidance, to ensure compliance with the Supported Accommodation Regulations 2023 and that the necessary changes are made to achieve the minimum standards required.
