Hours of work: 40 hours p/w (Mon - Friday, 8:30am - 5pm)


Salary: £28,500.00 - £32,000.00 per annum


Purpose of the role

The Property Administrator for special property requirements supports the department with a variety of administrative duties relating to special property requirements.

 

Reporting to the Property Coordinator and working directly for the Property team, the Property Administrator provides help and support where required, including, but is not limited to, research, compiling reports, arranging meetings, liaising with Stakeholders, and reviewing licenses. 


Duties and Responsibilities

Procedures

  • Conduct daily property searches and provide detailed evidence of findings through various online sources.
  • Document search activities and establish contact with agents and landlords via telephone and email.
  • Liaise closely with procurement officers. Provide daily updates and progress reports to procurement officers regarding property acquisitions.
  • Manage procurement officers' diaries, ensuring efficient scheduling and follow-ups.
  • Record and present detailed activity logs, including negotiation discussions, email correspondence, call logs, and chasers.
  • Maintain a chronological record of property-related activities, including listing     dates, contact initiation, and follow-up schedules.
  • Create and organise spreadsheets, folders, and zip files for effective documentation.
  • Collaborate closely with the litigation/legal team to ensure seamless operations
  • Host weekly meetings with the litigation team, the Customer etc.
  • Meet deadlines for Court cases
  • Develop and maintain close working relationships with stakeholders
  • Ensure all Local Authority notices received are dealt with in the prescribed manner
  • Ensure property handover & sign off processes and procedures are followed
  • Issuing of tenancy agreements and other documentation to landlords and agents
  • Ensure CRH portfolio is fully compliant with Local Authority, UKVI all other regulatory body legislation.
  • To provide administration cover when necessary to include daily updates of the system.
  • Perform regular checks of all Local Authority Licensing regulations and inform necessary persons within CRH of any changes
  • Ensure all required databases are kept up to date and accurate
  • Confidence and ability to making and answer daily telephone calls is essential
  • Ability to use email function professionally for daily enquiries from landlords and internal members of staff
  • Ensure values, ethical standards, policies and procedures are met.
  • Manage and report on performance targets and KPI’s to ensure the contract is being delivered to company and Authority standards as well as legislative requirements.
  • Create a culture of continuous improvement and sharing of best practice across the supply chain to optimise service delivery and business excellence
  • Engender a positive health and safety culture to agreed standard

  • Maintain excellent working relationships within the team and allocated Procurement Officer
  • Collaborate with others, attending meetings as required
  • Supporting team members and provide on-the-job training
  • Provide cover for other staff as agreed by line manager
