Some of our key projects include supplying food aid, medical supplies, educational and vocational training, Bibles, micro-enterprise, disaster relief, help for victims of violence, and support for pastors and church leaders. Barnabas Aid also provides advocacy for religious freedom, especially for persecuted and suffering Christians.

Overview

Barnabas Aid is seeking a highly organised, efficient, and proactive Personal Assistant (PA) to support the International Chief Outreach Officer. Whilst that position is vacant, this role will report to the International Chief Operating Officer (Interim). The successful candidate will be responsible for providing comprehensive administrative support across the International Outreach and International Support functions, covering the duties of the vacant International Chief Support Officer and International Chief Outreach Officer roles.

 

This position will support the International COO in overseeing key functions across the organisation, including management of the finance, HR, data and technology, facilities teams as well as international outreach (communications and fundraising). Once the vacancies for the two Chief Officer positions are filled, the PA will transition to support the newly appointed International Chief Outreach Officer and the International Chief Projects Officer.

 


Key Responsibilities

  • Executive Support:
  • Provide high-level administrative support to the ICOO, ensuring smooth operation of the daily schedule, prioritising tasks, managing appointments, and coordinating travel arrangements.
  • Support to Senior Leadership:
  • Provide administrative assistance to the ICOO, coordinating meetings, preparing agendas, and taking minutes where necessary.
  • Communication Management:
  • Handle incoming and outgoing correspondence for the ICOO, ensuring timely responses and effective communication within the team and with external stakeholders.
  • Project Coordination:
  • Assist in the coordination and delivery of special projects and initiatives within the International Outreach and Support functions.
  • To maintain project timelines, tracking milestones, and communicating updates with relevant stakeholders.
  • Meeting Organisation & Documentation:
  • Coordinate and schedule meetings, ensuring that all relevant materials are prepared in advance.
  • Assist with the preparation of presentations, reports, and other documents as required.
  • International Travel and Event Management:
  • Organise international and national travel arrangements for the ICOO, including accommodation, transport, and itinerary planning.
  • Assist with logistics for key events, conferences, and speaking engagements.
  • Internal Coordination:
  • Liaise with the International Support and Outreach teams, ensuring smooth communication and collaboration between departments.
  • Provide assistance as required to the regional offices and ensure that key initiatives are properly supported.
  • Confidentiality and Discretion:
  • Handle sensitive information with the highest level of discretion and confidentiality.
  • Support Transition:
  • Once the Chief Officer vacancies are filled, the PA will transition to supporting the International Chief Outreach Officer and International Projects Officer, assuming the role of PA to them, with a focus on supporting outreach activities.

 

 

  • General Administrative Duties:
  • Perform other administrative duties as required to support the ICOO and Senior Leadership Team (SLT), ensuring the efficient operation of the International team.

Skills and Experience


  •  Organisational Skills:
  • Strong organisational skills, with the ability to prioritise multiple tasks, manage time effectively, and meet deadlines.
  • Communication Skills:
  • Excellent written and verbal communication skills, with the ability to interact professionally and effectively with internal and external stakeholders at all levels.
  • Confidentiality:
  • Proven ability to maintain discretion and handle sensitive information with the utmost confidentiality.
  • Attention to Detail:
  • High level of accuracy and attention to detail in administrative tasks, including scheduling, correspondence, and document preparation.
  • IT Skills:
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook) and experience with CRM and project management systems.
  • Event & Travel Management:
  • Experience in managing travel arrangements and coordinating events, including logistics and documentation.
  • Problem-Solving:
  • Ability to anticipate needs, resolve issues proactively, and manage multiple tasks efficiently.
  • Adaptability:
  • Flexible and adaptable, with the ability to adjust to changes in priority and organisational structure.

·      Christian Faith:

o  A personal commitment to the Christian faith is essential, as this is an occupational requirement.


·      Experience in a similar PA or Executive Assistant role, ideally in a non-profit or charity environment.

·      Experience supporting senior leadership teams, including managing complex diaries and correspondence.

 

·      Experience with international travel coordination and event management is advantageous.

·      Familiarity with working in a Christian organisation or faith-based charity would be beneficial.

·      Experience in supporting projects and liaising with multiple departments or teams is desirable.
