ABOUT THE JOB

We are looking for a Project Administrator to join our team in Aberdeen. Reporting to the Head of Digital Operations, you will provide broad support across the Aberdeen Business Unit, covering projects and general administration functions including business operations. 



Salary: Up to £33,000, depending upon skills and experience.

SUMMARY OF ROLE AND RESPONSIBILITIES

You will:

  • Be a key member of the Aberdeen Team supporting operational objectives by contributing to strategic project goals, related to timely completion and submission of documentation.
  • Maintain the resource planning records and work with project managers and Technical Leaders to ensure that all planned work is identified, up to date and recorded in an open/editable application.
  • Complete timely Month-end returns from projects including internal data entry requirements and invoice preparation as required to meet reporting deadlines.
  • Maintain safe working practices and Aberdeen Fire Warden & First Aid cover. (TBA)
  • Coordinate and correlate Time Sheets for all Engineering and Project Staff.
  • Support smooth operation of Aberdeen facility.
  • Comply with and promote company policy, procedures, and decisions, across project teams.
  • Demonstrate flexibility and customer focus.
  • Show full awareness of all H&S requirements for work activities.
  • Work with other business support teams within ITI Group companies.
  • Administer processes such as invoicing and project updates.
  • Provide administrative support to the Aberdeen project team.
  • Help in the development of Project Management process improvements / visual management.
  • Create and maintain risk registers for key project.
  • Report on critical path adherence for key projects.
  • Support the lessons learnt feedback loop to improve project delivery.

SUMMARY OF REQUIREMENTS

We are looking for:


Experience and Knowledge

  • Good knowledge of Microsoft Office products, Word, Excel, PowerPoint 
  • Awareness of Project Planning Tools  
  • Ability to comply with all Company procedures for Project control and data security 
  • An understanding of Quality Management System procedures - able to support Quality Audits for projects 
  • Holds self and others to account for performance and service delivery. 
  • Knowledge of UK Energy Industry structure and major operators 


Skills and Abilities

  • Proven project coordination/control skills and experience 
  • Commercial, financial and contract management awareness  
  • Excellent analytical skills 
  • Proficient in maintaining formal technical and commercial documentation for the full life cycle of projects 
  • Exposure to and understanding of business and operating standards aligned to ISO approvals 
  • Excellent interpersonal skills and attention to detail 
  • Excellent verbal, written and interactive communication skills. 
  • Excellent ability to capture information, analyse it, and articulate findings to others
