About the Role

BCCOHP is seeking a permanent, full-time Coordinator, Quality Assurance to join our Quality Assurance team. This position will report to the Manager, QA & QA Officer.


The successful candidate will be responsible for providing administrative and operational support to help ensure the effective delivery of the Quality Assurance Program (QAP).


Working closely with the QA team, the Coordinator facilitates operational workflows of Components A and B and supports the administration and coordination of individualized support pathways and resolves routine issues with guidance. This role also coordinates Component C operations and serves as the primary point of contact for Oral Health Professionals (OHPs) participating in Component C, ensuring that it is administered consistently, proportionately and efficiently.


The Coordinator may function as a QA Officer under the Health Professions and Occupations Act (HPOA), to allow for the handling of quality assurance activities and sharing of information of any escalations while otherwise maintaining QA confidentiality as defined under the HPOA.

Essential Duties

General QA Support

  • Monitor the QA inbox and voicemails.
  • Triage frontline enquiries, facilitate routing, and escalate any questions requiring regulatory judgement, Standards interpretation, program content issues, or policy decisions as applicable.
  • Facilitate scheduling, document management, and recordkeeping of QAP participation.
  • Manage scheduling and coordination for QA-related meetings, walkthroughs, QA Assessor onboarding, training and calibration sessions.
  • Manage QA documentation systems and support communications, reminders, and notices as required.


Components A & B Cycle Operations

  • Coordinate the annual Components A & B cycle including launch support, reminders and progress tracking, scheduling and cycle close activities.
  • Ensure accurate data in the database.
  • Pull system reports to monitor completion and participation patterns for Components A and B and produce summaries for the Program Lead, Quality Assurance (the Program Lead).
  • Collaborate with IT on routine user functionality, troubleshooting patterns, and user experience issues.
  • Process accommodation and cycle-extension requests, routing them to the Manager, QA & QA Officer (the Manager) for decisions, and communicating outcomes to OHPs.

 

Component C Operations

  • Maintain and coordinate Component C operations, including self-assessment reviews, escalation of files, administrative assessor functions and preparation of files and documentation.
  • Assign and coordinate QA Assessors.
  • Monitor participation and timelines and prepare aggregate summary data.
  • Manage and send communications to OHPs and serve as the primary liaison between OHPs, QA Assessors, the Program lead and internal teams.


Other Responsibilities

  • Facilitate and coordinate the Audit Cycle Operation process.
  • Provide OHP support for Components A, B & C as required.
  • Maintain and update operational materials such as job aids, FAQs, templates, and standard responses and support rollout of updated guidance.
  • Support the transition management for the onboarding of new OHPs into the QAP.
  • Maintain the issues and improvement log across Components A, B, and C.
  • Follow through with the implementation of approved policy changes.
  • Other duties as required.

Essential Skills and Qualifications

  • Post-secondary education combined with a minimum of three years of work experience in an administrative or related role, or an equivalent combination of education and experience.
  • Strong understanding of the fundamentals of regulation and the role of a regulator is an asset.
  • Proficiency with Microsoft Office, databases, web-based tools, electronic filing, content/document management, cloud-based applications and intranets along with advanced computer skills, including internet, phone, and video conferencing tools. 
  • Exceptional communication skills, both written and interpersonal, with a demonstrated ability to draft clear, professional correspondence and effectively engage with internal/external individuals.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong clerical and administrative skills.
  • Strong critical thinking, analytical, and problem-solving skills. 
  • Attention to detail and dependability are second nature. 
  • Exceptional organizational skills with the ability to multi-task, prioritize, and meet tight deadlines in a fast-paced environment.
  • Resilient and calm under pressure, with the ability to adapt to changing priorities and handle multiple tasks and projects simultaneously. 
  • Anti-racism and/or diversity, equity and inclusion training or equivalent self-directed training is an asset.
  • Indigenous Cultural Safety training or equivalent self-directed training is an asset.
  • Remote work experience and experience in a regulatory, not-for-profit environment or post-secondary environment is an asset. 

Work Arrangement

Work Hours

BCCOHP's regular hours of business are 8:30 am to 4:30 pm, Monday through Friday. This is a full-time permanent position, requiring 35 hours per week (7 hours per day).

 

Flexibility

BCCOHP offers flexibility for a hybrid work arrangement depending on the role and operational needs. The number of days required to be in office for this position is dependent on operational needs and workload.

 

We also offer core work hours between 9:30 am - 2:30 pm. The successful candidate may adjust their work day as long as they are working within the set core work hours, and depending on operational needs.

Total Compensation & Perks

The successful candidate will be offered a competitive compensation and benefits package. The annual salary range for this position is $59,541.48 to $64,503.27. The salary offered will be determined based on factors such as experience relative to the requirements of the role.
