ABOUT THE JOB

We’re looking for a Project Administrator to join our team and provide key administrative and project support across the Business Unit. Working closely with Project Managers, Technical Leads and wider teams, you’ll help keep projects organised, on track and delivered to a high standard.


You’ll support the full project lifecycle, including document control, maintaining project records and registers, timesheet and resource planning, project reporting and invoicing, and tracking key actions and information. You’ll also liaise with clients, contractors and internal teams, contribute to process improvements and provide basic office support when required.


This is a varied role for someone who is highly organised, detail-focused and proactive, with the ability to manage multiple priorities and build strong working relationships.



Salary: Up to £40,000, depending upon skills and experience.

SUMMARY OF ROLE AND RESPONSIBILITIES

You will:

  • Provide effective administrative support to Project Managers, Technical Leads and project teams across the full project lifecycle.
  • Support projects from contract award through to completion and handover.
  • Maintain accurate project records, registers, trackers and databases.
  • Coordinate project actions, ensuring internal and client actions are recorded, monitored and progressed to completion.
  • Maintain resource planning records and work with Project Managers and Technical Leads to ensure planned work is accurately recorded and kept up to date.
  • Coordinate timesheets for Engineering and Project staff, ensuring information is accurate and submitted within required timescales.
  • Support project meetings, including preparation of agendas, recording actions and maintaining meeting records where required.
  • Assist with project updates, reporting and the preparation of information for internal management reviews.
  • Support the development and implementation of project management processes, procedures and visual management tools.
  • Complete timely month-end project returns, including required internal data entry and reporting activities.
  • Support invoice preparation and project financial administration as required.
  • Assist with monitoring project information, budgets and commercial data, escalating discrepancies or issues where appropriate.
  • Maintain accurate records to support project reporting and performance monitoring.
  • Assist with tracking project milestones, key dates and critical path activities.
  • Support the maintenance of project risk and opportunity registers.
  • Assist with capturing lessons learned and feeding these back into project teams to support continuous improvement.
  • Provide document control support across allocated contracts and projects.
  • Maintain formal technical and commercial documentation throughout the project lifecycle.
  • Carry out final quality checks on documents prior to issue to ensure they meet required standards and project requirements.
  • Manage project transmittal notes and Document Control Forms (DCFs), including receipt, tracking and responses.
  • Maintain project document registers and ensure records are accurate, complete and appropriately controlled.
  • Liaise directly with client Document Control teams to establish and maintain appropriate document management protocols.
  • Review contract and project documentation prior to release to clients.
  • Support the preparation, collation and issue of technical and contract documentation.
  • Ensure project documentation is managed in accordance with company procedures, client requirements and data security requirements
  • Support compliance with company policies, procedures and project control requirements.
  • Ensure project administration activities are undertaken in accordance with the company's Quality Management System.
  • Support project teams in maintaining compliance with ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018 requirements.
  • Assist with the preparation and maintenance of documentation required to support project quality audits.
  • Demonstrate commitment to the company's Quality, Health, Safety and Environmental policies.
  • Maintain safe working practices and promote a positive health and safety culture.
  • Ensure confidentiality, information security and data protection requirements are always adhered to.
  • Identify opportunities to improve project administration processes, systems and ways of working.
  • Contribute to the development and implementation of best-practice project processes and procedures.
  • Support the introduction of efficient administrative and project control practices.
  • Contribute to lessons learned and continuous improvement initiatives across the Business Unit.
  • Take a proactive approach to identifying issues and finding practical solutions.
  • Provide basic office and administrative support to the wider team as required, helping to ensure the smooth day-to-day operation of the Noveum office.
  • Successfully complete all identified training both in-house and external, as required.
  • Follow all health and safety regulations, procedures and protocols.
  • Assist with any other duties reasonably requested and in line with the requirements of the post.

SUMMARY OF REQUIREMENTS

We are looking for:


Essential Skills

  • Previous experience in an administrative, project administration, project coordination or document control role.
  • Proven experience supporting projects and maintaining accurate project records and documentation.
  • Experience of maintaining formal documentation, registers and project records.
  • Understanding of quality management processes and procedures.
  • Good knowledge of Microsoft Office, particularly Word, Excel and PowerPoint.
  • Basic understanding of project financial and commercial processes.
  • Excellent organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with colleagues, clients and contractors.
  • Strong attention to detail and ability to accurately capture, analyse and present information.
  • Ability to understand and work with technical and project documentation.


Desired Skills

  • Experience within engineering, energy, nuclear or another technical/project-based environment.
  • Experience working with client document control systems and processes.
  • Experience working within an ISO 9001: 2015, ISO 14001:2015 and ISO 45001:2018 environment.
  • Experience using project planning, document management or project control software.
  • Experience supporting invoicing, budgets, contract administration or project financial reporting
  • Experience producing project reports or management information.
  • Knowledge of engineering projects and technical environments.

Company Pre-Requisites

To be considered for this role you will be required to:


  • Pass DBS and BPSS check.
  • Be a UK National (no dual passports).
  • Have lived in the UK for the last 5 years.
  • Have no spent or current criminal convictions.
  • Be prepared to work in the Nuclear defence sector.
  • Experience in regulated industry (preferred).
