Hours of work: 40 hours p/w (Mon - Friday, 8:30am - 5pm)


Salary: £26,215 - £40,660 per annum

Purpose of the job

The Audit Officer audits the work of accommodation and services inspectors (Inspection Officers) to ensure their work meets the required standard and that work is carried out in a manner to ensure compliance with contractual and statutory provisions and internal guidelines. 

 

The Audit Officer applies audit methodologies to evaluate assurance work carried out by Inspection Officers is thorough and in line with policies and guidelines identifying risks and recommending mitigation strategies.

 

The postholder must hold a full UK Driving License and access to their own vehicle as extensive daily travel is required.



Duties and Responsibilities

Procedures

  • Conduct regular audits of accommodations and services inspected by Inspection Officers at least once a month ensuring to visit sufficient volume of varying types of accommodations as assigned by the Senior Auditor.
  • Provide detailed audit reports to the Senior auditor and Senior Inspectors in accordance with internal policies and procedures to include recommendations for any areas of improvement.
  • Carry out inspections of accommodations and services assigned to you by the Senior Auditor and raise non-conformances in accordance with company guidelines.
  • Conduct audits of the extent to which inspectors have verified accommodation managers and onsite staff are clear on the requirements and standards for services to be provided to service users.
  • Arrange to meet accommodation staff and relevant inspector on site at the beginning of the audit day to clarify the audit type and process for on-site audit.
  • Conduct a review of compliance documents, any actions to meet recommendations detailed in such documents and reports of previous inspections to identify any gaps in them.
  • Audit all services and service areas and inspect a minimum of 5% of rooms within an accommodation to inform possible areas of best practice or developmental areas for the relevant inspector or inspections process.
  • Collaborate with the business to track and resolve audit issues, ensuring timely remediation.
  • Prepare detailed audit reports to include recommendations on areas of improvement for company guidelines and processes.
  • Facilitate and attend inspections or audits of accommodations in the portfolio by UKVI and other statutory bodies as directed by the Senior Auditor and senior management.
  • Conduct pre-audit of proposed accommodations assigned to you for suitability prior to go live by reviewing all building compliance documentation i.e., Standard Operating Procedures, Fire Risk Assessments, Gas, Electric, Legionella certificate etc.
  • Ensure new and existing accommodations have been set up for optimum utilisation in accordance with contractual provisions and UKVI guidelines.
  • Sign off any proposed accommodations as compliant and ready to go-live following preaudit checks.


Support for Service Users

  • Assess previous inspection reports and activities to review the effectiveness of inspector’s actions aimed at:
  • Ensuring adequate stocks of correct documentation/booklets are being proactively maintained and kept up to date and are in line with the contract requirements
  • Reviewing onsite personnel, processes and actions to ensure SUs are supported to register with doctors and schools if they have children of statutory school age.
  • Reviewing staff knowledge aimed at supporting service users to access support and implement processes for signposting SUs to local shops, support agencies, etc.
  • Ensuring any outstanding incident reports are raised
  • Ensuring non-conformances and defects are raised appropriately and resolved within contractual timescales
  • Ensuring onsite staff are acting in accordance with the contract to move SU’s out of the accommodation (Move – on process) no later than the last day as detailed within UKVI letter
  • Ensuring staff are aware and implement the necessary process to maintain SUs health and safety at all times
  • Ensuring appropriate property related certification and documentation is produced and recorded accurately
  • Complete a specific number of welfare checks per month implementing audit guidelines as a means of assuring the process
  • Work in partnership with the Safeguarding Team and take action to resolve or signpost any Safeguarding issues/concerns raised during the audit.
  • Work in partnership with accommodation staff, inspections teams and subcontractors to ensure recommendations from UKVI Inspections and FRA recommendations are followed up through to completion.
