Position Title: Finance and Admin Officer (Maternity Cover)
Reporting to: Finance and Admin Manager
Location: Ethiopia
Employment Type: Four(4) Months Fixed Term Contract for Maternity Cover
The Finance and Administration Officer plays a key role in supporting the Finance and Admin Manager (FAM) to ensure the effective delivery of financial, and administrative tasks within HWs-ET. Beyond handling day-to-day transactions, the officer provides strategic and operational support to the FAM by contributing to financial planning, administrative systems strengthening. This position serves as a critical support function for staff needs, ensuring that financial and administrative services are delivered efficiently and transparently. By maintaining strong internal systems, accurate reporting, and timely administrative support, the Finance and Admin Officer helps the FAM to focus on higher-level management and strategic decision-making.
Overall, the position is designed to be a reliable partner to the FAM, ensuring that Finance and Administration functions serve the strategic goals of HWs-ET.
- Maintain accurate accounting records, including cashbooks, ledgers, and vouchers.
- Process payments, staff reimbursements, and supplier invoices in compliance with HW policies.
- Assist in budget preparation, budget tracking, and variance reporting.
- Prepare monthly reconciliations (banks, advances, payables/receivables).
- Support preparation of donor financial reports and internal management reports.
- Ensure financial documents are properly filed, archived, and easily retrievable.
- Support month-end financial closing activities, including preparation of schedules and supporting documentation. Provide financial insights and analysis to support the FAM in decision-making.
- Monitor outstanding advances, payables, receivables, and other financial balances and follow up with relevant staff to ensure timely clearance and settlement.
- Perform other finance-related duties assigned by the Finance and Administration Manager (FAM) in support of effective financial management and organizational operations.
- Manage office supplies, utilities, and administrative documentation.
- Ensure and monitor that the office is clean and tidy for the employees.
- Ensure proper record-keeping for contracts, agreements, and other administrative files.
- Support travel arrangements, workshops, and meetings by handling logistics (venues, bookings, documentation).
- Provide general administrative support to program and management teams.
- Identify areas to strengthen administrative systems and propose improvements to the FAM.
