Park Manager

The Park Manager's main functions are to ensure the efficient and effective management of the day-to-day operations of the Park/s as assigned, embodying the highest standards of client service and managing the community and marketing requirements, the reporting team members, leasing administration, and business and financial planning, optimisation, and profitability of the Park/s. 

Job Role

KEY RESPONSIBILITIES

 

Client Relations

 

  • Ensure the highest level of client service is met at all times and that all clients, visitors, and members of the general public are addressed with tact, courtesy, and professionalism
  • Be visible and available to our clients as their first point of contact (along with the CM if assigned)
  • Understand our clients, our clients’ commercial needs, and our clients’ specific lease agreements and requirements.
  • Communicate with clients on all queries, complaints, comments, operations, events, memos/notices and troubleshooting, and provide positive and prompt feedback and solutions
  • Develop a stream of repeat business through good client relationships and the use of incentives and campaigns (Refer-a-friend)
  • Assist with the annual Client Satisfaction Surveys as required

 

Operations

 

  • Management of the day-to-day operations and requirements of the Park/s
  • Management of the business hub, including overseeing of the meeting room booking system
  • Management of maintenance, security, and cleaning services of the building/s
  • Ensure that utility consumption and costs, including meter readings, stock, supplies, and consumables, are managed as well as accurately recovered where applicable
  • Address all Park and Client problems and facilitate troubleshooting
  • Ensure all equipment, machinery, furniture, and infrastructure is effectively maintained and recorded where necessary, and establish and maintain applicable preventative maintenance processes
  • Management and overseeing of the Park’s service providers, contractors, and any other third party service providers
  • Ensure all building insurance compliance requirements are met, and prepare and deliver reports as required
  • Ensure that all property and client files and records are updated and maintained on the company server

 

 

Community Management

 

  • Ensure client compliance and understanding of ‘Inospace Conduct Rules’, resulting in harmonious client relationships
  • Report and liaise with the marketing department on any marketing requirements for the building/s, including assistance with local and on-site marketing of the park, it’s services, and products, and the distribution of brochures, posters, and advertisements
  • Management of internal monthly and annual client events within the approved budget, as well as inter-park networking and benefits programmes

 

 

People Management

 

  • Management of the assigned Community Manager/s and their performance, ensuring that they understand and fulfil their responsibilities
  • Management of the on-site Handyman and collaboration with the maintenance department

 

 

Leasing

 

  • Responsible for the leasing of vacant units and managing viewings of Space, Work Space, and general leasing with the support from the area leasing manager.
  • Forward potential leads to the sales and leasing department and assist with marketing, sales, and cross-selling of facilities to walk-ins and enquiries
  • Management of the onboarding and exiting processes of clients
  • Develop relationships with internal and external brokers
  • Liaise with the accounts and leasing administrators on client queries, pre-billing checks, arrears and client account reconciliations using ‘MRI, and ensure they are abreast of all client information.

 

Finance

 

  • Assist in the preparation, compilation, and compliance of the Park/s annual property budget
  • Create, collaborate, and monitor the annual business plan of the Park/s, including events, client movements, vacancies, site optimisation, etc.
  • Identify and Implement optimisation strategies to increase property incomes
  • Ensure arrears are tightly controlled as per the company Credit Policy

 

Other duties

  •  As directed, undertake other duties which are incidental and peripheral to the key responsibilities, provided that such duties are reasonably within the requirements and responsibilities of the position.
  • As a philosophy, assist colleagues and actively participate and contribute to team activities and knowledge sharing initiatives.
  • Contribute to the Inospace culture and act as an ambassador for the company’s strategy.

 

Additional comments

  • The PM may need to make use of their personal vehicle for work related duties and shall therefore maintain a current driver’s while employed by the company and shall maintain appropriate insurance at all times.
  • In addition, the PM shall be required to use a cellular phone at all times to respond promptly to emergencies or for other vital communication, except when prior arrangements have been made such as approved leave and other times.
