We are seeking an experienced and detail-oriented Store and Warehousing Manager to join our team. This is a key operational role responsible for managing the Stores function whilst also overseeing procurement processes and supplier relationships. The successful candidate will play a vital role in ensuring efficient supply chain management and maintaining appropriate inventory levels across the organisation.

Requirements

Stores Function

  • Manage and oversee all aspects of the stores operation, including receipt, storage, and distribution of goods
  • Maintain accurate inventory records and conduct regular stock audits
  • Ensure proper storage conditions and compliance with food safety standards for both perishable and non-perishable goods, adhering to relevant health and safety regulations
  • Develop and implement effective storage systems and procedures
  • Monitor stock levels and liaise with department heads regarding supply requirements
  • Process invoicing for stores and the wider zoo departments
  • Liaise with Animal Registrar on possible collection/delivery of Animals to Dublin Airport
  • Deliver samples to UCD/Irish Equine Centre Procurement 

 

Procurement

  • Review, evaluate, and update existing procurement processes to improve efficiency and cost-effectiveness
  • Manage procurement workflows including the raising of accurate purchase orders on our accounts package before the goods are ordered and ensure adherence to procurement policies
  • Identify opportunities for process improvement and implement changes
  • Source suppliers and maintain relationships with key vendor partners
  • Negotiate contracts and terms with suppliers to achieve value for money and communicate this to your line manager
  • Ensure all procurement complies with organisational policies and procedures
  • Monitor supplier performance and manage any issues or complaints Manage procurement workflows and ensure adherence to procurement policies
  • Identify opportunities for process improvement and implement changes
  • Source suppliers and maintain relationships with key vendor partners

General

  • Prepare and manage procurement-related documentation and reports
  • Ensure tax and insurance are up to date on all vehicles including servicing for all vehicles
  • Produce regular reports on stores operations and procurement activities for senior management
  • Ensure all activities comply with relevant legislation and organisational policies
  • Maintain professional communication with internal and external stakeholders

Qualifications and Experience

Essential Skills

  • Proven experience managing budgets, stores operations and inventory management
  • Experience in procurement management and supplier relationship management
  • Proficiency in Microsoft Word and other relevant software applications
  • Sound understanding of relevant health and safety regulations relating to storage
  • Excellent organisational and administrative skills
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Attention to detail and accuracy in record-keeping
  • Problem-solving skills and ability to manage issues proactively

 

Desirable Requirements

  • Experience with inventory management systems
  • Project management experience
  • Familiarity with cost control and budget management
