PRIVACY NOTICE FOR EMPLOYEES

 

A requirement of the General Data Protection Regulation is that a Privacy Notice, with specified content, is given to anyone whose personal data is processed by an organisation. This notice relates to your employment by Lexham Insurance Consultants Ltd.

 

Information about you

Most of the information we may hold about you will have been provided by you, or by someone acting on your behalf. We may also collect some data from other sources, such as;

- previous employers, to verify certain employment-related data;

- checking agencies to verify such things as identity, address and convictions;

- openly-available sources where appropriate to help verify certain data.

We may hold “sensitive personal data” about you (relating to health/disability/criminal convictions). 

 

What this information is used for and the basis for using it

This information is used initially to consider your application for employment and subsequently to administer your contract of employment (contractual necessity and legal obligation). 

It may also be used to check for possible fraud, money laundering or other crime (legal obligation).

We will not be able to employ you without this data.

We guarantee that we will never sell any information about you to anyone else or collect unnecessary information – we respect the information you have provided, and it will be used only in connection with your employment.

 

Who we may pass your information to

As a legal obligation, we may pass certain data to:

·         HMRC (e.g., regarding tax)

·         A pension scheme provider

·         Government agencies (e.g., regarding student loans or attachment of earnings orders)

·         Your previous and potential employers (for references)

·         Sage (for HR and payroll services)

·         Development Zone (for access to our training portal)

·         Perkbox (employee benefit scheme)

·         Anyone who you may have asked us to deal with, such as in an emergency.

 

How long we keep your information

We will normally keep your personal data for 7 years following the termination of your employment.

 

Other persons

If you provide personal data about another person (such as a person to contact in emergency), it is your responsibility to ensure you have their agreement to do so.

 

Your main rights and who to contact

To receive a copy of your personal data, to ask us to rectify any inaccurate or incomplete data, to complain about our use or storage of it.
