Job Title: HR Coordinator


Reports To: HR Advisor


Salary Range: £28,000–£32,000 FTE, depending on experience


Hours: This is a 30 hour per week role, working Monday to Friday, with some flexibility around the working pattern. We would also consider full-time applicants (37 hours per week)


Location: Petersfield, with some flexibility to work from home

About the Role


The HR Coordinator provides accurate, efficient and professional HR administration support across the full employee lifecycle. Working closely with, and under the guidance of, the HR Advisor, the role supports the delivery of consistent HR processes, timely documentation and a positive employee experience.


This is a development opportunity for someone with a foundation in HR who wants to build on their knowledge. The HR Coordinator will gain exposure to a broad range of HR activities while remaining within a clearly defined administrative and coordination role.


The role does not provide independent HR advice on complex employee relations, policy or legal matters. These matters should be escalated to the HR Advisor.


Key Responsibilities


HR Administration


Maintain accurate employee records, personnel files and the HR Information System.


Prepare and issue contractual documentation, including employment contracts and contractual amendment letters, using approved templates.


Process all employee lifecycle changes including starters, leavers, promotions, salary changes and contractual variations.


Monitor probationary periods and coordinate probation review reminders with managers.

Manage the HR inbox, responding to routine employee and manager enquiries or directing them to the HR Advisor where appropriate.


Ensure all HR documentation is filed accurately, audit trails are maintained, and information is handled in accordance with GDPR and company confidentiality requirements.


Recruitment & Onboarding


Coordinate recruitment campaigns, including advertising vacancies and liaising with recruitment agencies where required.


Arrange interviews and communicate with candidates and hiring managers throughout the recruitment process.


Coordinate Right to Work checks, references and pre-employment screening in line with company requirements.


Coordinate onboarding activities, induction schedules and new starter administration.


Ensure new employees receive a positive and well-organised onboarding experience.


HR Systems & Record Keeping


Maintain HR databases and ensure employee records remain accurate and up to date.


Support HR audits and handle all documentation in accordance with GDPR and company confidentiality requirements.


Maintain HR templates and policy documents.


HR Support


Provide administrative support for employee relations cases, including preparing documentation, invitation letters and meeting packs.


Attend HR meetings as note taker where required, ensuring notes are accurate, objective and handled confidentially.


Support HR projects and continuous improvement initiatives.


Build positive working relationships with employees and managers, providing a professional and approachable HR service.


Skills and Experience


Essential


  • Previous experience in an HR Assistant or HR Administrator role, with a good understanding of HR processes and the employee lifecycle.
  • CIPD Level 3 qualified or working towards, or equivalent practical HR experience.
  • Strong administration and organisational skills with excellent attention to detail.
  • Good understanding of confidentiality and data handling requirements.
  • Excellent written and verbal communication skills.
  • Confident user of Microsoft Office, particularly Outlook, Word and Excel.
  • Desirable
  • Experience using SageHR and Kelio or similar HR and time and attendance systems.
  • Experience supporting recruitment and onboarding activities.
  • Awareness of UK employment legislation and HR best practice.
