About the Role

BCCOHP is seeking two permanent, full-time Administrative Assistants, Sedation to join our Non-Hospital Surgical Facilities team. This position will report to the Program Lead, Sedation & GA Program.


The successful candidate will be responsible for providing administrative support to the Sedation team with receiving and processing requests from facilities looking to provide sedation and assisting with assessments of facilities where sedation and general anesthesia services are provided. 

Essential Duties

Sedation 

  • Assist with facility assessments and Registration of Qualifications for Sedation, including assisting Coordinators with follow-ups. 
  • Assist with inquiries regarding sedation from sedation facilities and registrants. 
  • Assist with assessment and application payments. 
  • Prepare and distribute facility assessor packages for on-site and virtual evaluations in a timely manner. 
  • Organize and file sedation facility assessments and Registration of Qualifications. 
  • Conduct data-entry and update records for sedation facilities and providers, including diarizing activities.  
  • Maintain sedation database and records. 
  • Assist with administrative tasks related to Sedation and provide administrative support to the Sedation & GA team. 
  • Assist with data-collection.
  • Receive and collate documents sent by mail or by other means.  
  • Prepare and send reminder and compliance letters. 
  • Prepare and send facility certificates. 
  • Assist with sedation projects.  
  • Prepare packages and organize materials for the Sedation & General Anesthesia Committee. 

 

Other Responsibilities 

  • Order catering for meetings as needed. 
  • Book travel and accommodation for facility assessors and Sedation & General Anesthesia Committee Members. 
  • Perform other administrative duties as required. 

Essential Skills & Qualifications

  • Post-secondary education combined with a minimum of two years of related office experience. 
  • Exceptional organizational skills with the ability to multi-task, prioritize, and meet tight deadlines in a fast-paced environment. 
  • Attention to detail and dependability are second nature.  
  • Exceptional communication skills, both written and interpersonal, with a demonstrated ability to draft clear, professional correspondence and effectively engage with internal/external individuals in person and remotely. 
  • Experience using database or customer relations management system and electronic filing systems. 
  • Proficiency in Microsoft Office, Adobe, and SharePoint, along with advanced computer skills (including use of internet, phone and video conferencing tools). 
  • Ability to handle sensitive and confidential information with discretion. 
  • Ability to maintain tact, grace, and diplomacy in all situations. 
  • Highly adaptable and flexible with the ability to adapt to change. 
  • Resilient and calm under pressure, with the ability to adapt to changing priorities.
  • Strong clerical and administrative skills. 
  • Remote work experience with experience in a regulatory or not-for-profit environment being an asset. 

Work Arrangement

Work Hours

BCCOHP's regular hours of business are 8:30 am to 4:30 pm, Monday through Friday. This is a full-time position, requiring 35 hours per week (7 hours per day).


Flexibility

BCCOHP offers flexibility for a hybrid work arrangement depending on the role and operational needs. The number of days required to be in office for this position is dependent on operational needs and workload.

 

We also offer core work hours between 9:30 am - 2:30 pm. The successful candidate may adjust their work day as long as they are working within the set core work hours, and depending on operational needs.


Total Compensation & Perks

The successful candidate will be offered a competitive compensation and benefits package and can typically expect a starting annual salary between $52,289.08 and $56,902.83 depending on factors such as skills, experience, and education relative to the requirements of the role. Salaries are reviewed annually based on performance and market trends, allowing employees to potentially earn up to the maximum of the current pay band, $61,516.57.
