About the Role

The Lead, Registration & Certification (the Lead) for the British Columbia College of Oral Health Professionals (BCCOHP) works closely with the Director, Registration & Certification. 


Reporting to the Director, Registration & Certification (the Director), the Lead is responsible for assisting with oversight of the administrative assistant team, Registration Committee (the Committee) preparation and follow-up activities, and Wall Certificate processes for all oral health professionals, along with working on other projects as needed.


Essential Duties

Registration & Certification

  • Lead the Certificate of Standing/ Letter of Standing processes for all Oral Health Professionals (OHPs).
  • Lead the Wall Certificate process for all OHPs.
  • Oversee the Registration Inbox and N41 dashboard messages.
  • Complete tasks related to the registration department’s daily functions including the review of applications for registration in accordance with the provisions of current legislation, regulations, and bylaws, and makes recommendations to the Director.
  • Provide responsive support to the Director on other projects related to registration, exams, and national initiatives.
  • Participate in tasks, projects, and programs normally outside the position description which are necessary for the efficient operation of BCCOHP as required.


Registration Committee 

  • Coordinate committee meeting dates, confirming that all items/tasks are completed as appropriate.
  • Liaise with the Committee Chair to ensure that they are adequately prepared for each meeting.
  • Prepare committee meeting agenda.
  • Prepare committee meeting packages (including preparation of summaries).
  • Take minutes at committee meetings and ensure finalization.
  • Create the committee’s record of resolutions and action items.
  • Draft follow-up letters from the committee meetings for the Director’s review and signature.
  • Email post-committee meeting correspondence, in line with BCCOHP’s email protocol guidelines.
  • Ensure all follow-up items from Committee meetings are completed.
  • Ensure that approved minutes are archived appropriately.
  • Additional committee duties as required.


Supervision of Administrative Assistant, Registration & Certification

  • Provide leadership, management, mentorship and supervision to the Administrative Assistants of the Registration & Certification team (the AAs).
  • Ensure the AAs have a clear understanding of their role, accountability, authority, and responsibilities.
  • Collaborate with the Director to ensure the AAs are provided with performance reviews and planning.

Essential Skills & Qualifications

  • Post-secondary education combined with a minimum of three years of work experience in a management or supervisory role, or an equivalent combination of education and experience.
  • Sound fundamental knowledge of registration practices in other professions, provincial/territorial and international jurisdictions is an asset.
  • Knowledge and skills related to IT systems (i.e.. databases, testing software) and computer programs (i.e.. Microsoft Office, electronic filing and document management, video conferencing).
  • Exceptional communication skills, both written and interpersonal, with a demonstrated ability to draft clear, professional correspondence and effectively engage with internal/external individuals.
  • Understanding the importance of process and attention to details. 
  • Resilient and calm under pressure, with the ability to adapt to changing priorities and handle multiple tasks and projects simultaneously. 
  • Experience in successfully building, developing, and managing a high performing team while ensuring continuous support and guidance to staff.
  • Strategic, tactful and authentic leader who is able to influence at the functional levels.
  • Ability to handle sensitive and confidential information with discretion.
  • Fundamental understanding of applicable legislation, administrative law, and other statutes affecting the registration of qualified individuals into the professions in Canada is an asset.
  • Remote work experience with experience in a regulatory or not-for-profit environment being an asset.


Work Arrangement

Work Hours

BCCOHP's regular hours of business are 8:30 am to 4:30 pm, Monday through Friday. This is a full-time permanent position, requiring 35 hours per week (7 hours per day) with additional hours being required from time to time to fulfill responsibilities of the position.

 

Flexibility

BCCOHP offers flexibility for a hybrid work arrangement depending on the role and operational needs. The number of days required to be in office for this position is dependent on operational needs and workload.

 

We also offer core work hours between 9:30 am - 2:30 pm. The successful candidate may adjust their work day as long as they are working within the set core work hours, and depending on operational needs.

Total Compensation & Perks

The successful candidate will be offered a competitive compensation and benefits package and can typically expect a starting annual salary between $85,638.38 and $92,774.92 depending on factors such as skills, experience, and education relative to the requirements of the role. Salaries are reviewed annually based on performance and market trends.
