Hours of work: 40 hours p/w (Mon - Friday, 8:30am - 5pm)


Salary: £26,000.00 - £33,800.00 per annum

Purpose of the role

The role of the HR Administrator reports directly to the HR Advisor and is responsible for providing timely, accurate and excellent administrative support to the People Team to help deliver a first-rate end to end Employee Relations service which demonstrates clear value to all stakeholders.


Must have strong administration experience, preferably in HR.

Duties and Responsibilities

Procedures

Administration

  • Carry out general administration tasks for the HR Department
  • Organise and maintain staff records
  • Monitor and report on staff absence
  • Respond to reference requests for current or former members of staff
  • Assist in the updating of HR policies, procedures and employee handbook
  • Follow up on probation reviews and compile successful completion letters
  • Support the process for HR casework staff
  • Compose new Process Guides (as required) and review and maintain existing Guides for all HR Administration duties


Payroll

  • Ensure all amendments for payroll are accurate and logged in time for the monthly payroll run, e.g. new starters, leavers, salary increases, contractual variations, sickness

 

HR Information System (HRIS) and Reporting

  • Be a primary contact for queries on HRIS (Sage HR)
  • Act as systems administrator for Sage HR, controlling all user access, managing data flows in and out of the system and ensuring accuracy and data protection compliance
  • Liaising with systems support to troubleshoot queries as required
  • Ensure the Sage HR accurately reflects current employee conditions and details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave, recording of sicknesses and other absence
  • Provide appropriate reports from Sage HR for the purpose of auditing/monitoring employee data
  • Monthly auditing/annual cleansing of Sage HR

 

Advice and Guidance

  • Provide day-to-day advice to line managers and employees on general HR related queries, requests and Company Policies and Procedures, escalating more complex issues to the HR Advisors and/or HR Business Partners
  • Communicate with external agencies as required
  • Support in formal meetings, such as disciplinaries and grievances as the HR representative

 

Other Duties

  • Monitor Right to Work, DBS, CTC, SC certifications and keep up to date in line with contractual requirements and current legislation
  • Assist in taking notes in formal meetings
  • Support the wider HR function with ad hoc administration tasks as required
  • Coordinate and promote staff benefit schemes

  • Work closely with your line manager and team members
  • Collaborate with others, attending meetings as required
  • Supporting team members and provide on-the-job training
  • Provide cover for other staff as agreed by line manager

  • Ensure all records are maintained and kept up-to-date according to company policies and procedures
