We have an exciting opportunity for an Administrator/Receptionist to join our friendly team at our newly refurbished office in Aberdeen. This role will include undertaking the Company’s administration and reception function, whilst ensuring an efficient and effective service is provided to the business.

Whilst this role will be located at our Aberdeen office it is part of our wider admin function and will provide general administration support to the wider ITI team through a shared workload.

As part of the role, you can expect to:

  • Contribute to the management and workload generated by the admin & travel shared mailboxes. Travel booking and enquiries.
  • Provide general administration support to the Office Manager based in Sheffield and the wider ITI team.
  • Provide any general admin support with the business which may include converting files, document formatting, creating forms/templates, general formatting, creating bid support materials complying with ITI Operations brand guidelines.
  • Assist with document control for the companies, forms, policies and procedures.
  • Dealing with purchase request and goods inwards acknowledging sales orders and variation orders.
  • Receiving and directing incoming calls, open and distribute incoming and outgoing post, checking on stationary, catering supplies and placing any orders as required, check and stock the consumables for staff.
  • Receiving and welcoming visitors, booking meeting rooms, preparing refreshments and catering orders for visitors, washing and drying all hospitality items, glasses, cups, plates etc, maintaining visitor logs and COVID declaration forms¸ issue of visitor and temporary staff badges and ensuring the general reception area is tidy and adhering to the clean desk policy


We are looking for someone with:

  • Experience in a customer service role
  • A good standard of written and oral communication
  • Able to work as part of a central team but also work autonomously as part of a local office 
  • Computer literate
  • Willingness to take ownership, be proactive and demonstrate problem solving skills
