JOB PURPOSE
The Sustainability Projects Administrator’s primary role will be to support the Energy Systems and Procurement Manager to effectively manage MFG’s sustainability projects. In addition they will also provide support to the continued development of MFG’s Utilities management software “Systemslink” and periodic Utility contract management.
The role reports to the Energy Systems and Procurement Manager, providing full support from project conception through to delivery and post completion periodic performance reporting.
The Sustainability Projects Administrator’s main responsibilities are below. However, it is acknowledged that as this role evolves with increasing Sustainability projects and the performance reporting requirements, further accountabilities and tasks will be added.
MAIN ACCOUNTABILITIES
Main activities:
- Project administration of all sustainability projects including - the installation of refrigeration control systems RDM and Danfoss, the installation of chiller case Doors, the installation of internal and external LED systems along with presence control in the rear of house. Solar PV installations. Water Auditing.
- Ensuring strong communication lines between contractors, RM’s ARM’s & contract managers to successfully enable the scheduling of these projects.
- Administering trackers ensuring work is proceeding as scheduled & meeting quantified and budget targets
- Collating energy data to assist with the creation of periodic reports
- Assisting with the production of periodic reports & presentations
- Maintaining and updating reporting on quotes & invoices on MFG’s facility management systems
- Administration in relation to the companies utility invoice validation software from time to time.
- Utility contract support, admin support relating to periodical contract negotiation.
- Administration and tracking data in association with trade effluent consents and related topics.
- To support other administrators in times of busy or peak workload.
WORK CONTEXT
The post is office based and some business travel may be required from time to time. Additional hours may also be required to be worked from time to time over the contracted working hours to ensure that needs of the business are met.
COMMUNICATIONS
- Communication skills are essential to ensure coordination between contractor, various MFG teams, (field and office based) are detailed, accurate and delivered in a timely fashion to ensure first time every time results with minimal impact to the daily operations of the business.
- This skill also extends to direct communication with line manager who takes on responsibility of delivering these projects and their subsequent performance reporting. Those skill will need to be applied to email, telephone and the use Teams software where applicable
COMPLEXITY
- Multiple projects are running at same time with differing contractors and work streams, these need to be coordinated to ensure successfully completion.
- Liaising with various MFG teams including fuels and retail to ensure impact of any project is correctly managed.
- Compliance with H&S regulations, requesting RAMS in a timely manner and passing them through for internal review and approval.
- Updating trackers to ensure accurate monitoring of the installation programmes against targets and budgets.
- Working alongside the Energy Systems and Procurement Manager and the Utility Manager.
KNOWLEDGE & SKILLS REQUIRED
- Good working knowledge MS office based software primarily Excel, PowerPoint and Teams.
- An understanding on the purpose of these projects, how and why MFG are striving to make energy, cost and carbon saving.
- The ability to work on own initiative within pre agreed constraints.
- The ability to communicate in with areas of the business and with MFG’s approved contractors.
- Excellent organisational skills with the ability to prioritise tasks and to work to deadlines
- Ability to achieve targets whilst maintaining accuracy
- Previous administration experience within a fast paced business
