As an Office Assistant & Event Coordinator, you will ensure smooth daily office operations and help maintain a positive company culture. You will be responsible for managing visitor reception, coordinating meetings and events, and supporting various departments with administrative tasks. YOUR ROLE AND RESPONSIBILITIES:
Office Management:
- Coordinate and optimize daily office operations, including managing the internal task schedule (Ämtli) to ensure fairness, clarity, and efficiency.
- Manage office supplies and branded merchandising items, ensuring stock levels are maintained.
- Support administrative tasks and cross-departmental organizational projects.
- Coordinate Workplace Resources (WPR), ensuring a tidy and well-maintained office environment.
Meeting and Visitor Management:
- Manage visitor reception, including organizing and assisting visitors.
- Prepare and manage meetings, including room setup, providing materials, and catering arrangements.
- Coordinate hotel reservations, transportation, and restaurant bookings for visitors.
- Organize and manage gift arrangements for visitors.
Company Culture:
- Organize employee gifts, surprises, and anniversary celebrations to foster a positive workplace culture.
- Plan and execute recognition activities, such as employees birthdays, anniversaries, and team achievements, enhancing employee morale and team spirit.
Event Management:
- Plan and organize internal events such as monthly company updates, teambuilding events, company parties, customer meetings, and get-togethers
- Support the organization and execution of large-scale external events, including the annual Loft Fest and trade show appearances
- Ensure alignment of all events with the company’s branding and strategy
General Administrative Support:
- Capture event content (photos/videos) for internal use and social media platforms.
- Provide administrative and organizational assistance to the Sales team as needed.
- Assist various departments with administrative tasks and organizational projects.
YOUR BACKGROUND AND SKILLS:
- Completed commercial degree or equivalent, with experience in office and event management, preferably in a tech, aviation, or industrial sector
- Proven professional experience in event planning, coordination, and organizational tasks
- Excellent organizational skills, structured working style, and a proactive, independent work ethic
- Fluent in written and spoken German and English
- Excellent communication skills, creativity, and a professional demeanor
- Hands-on mentality, attention to detail, and reliability.
- High resilience, flexibility, and ability to adapt to changing priorities, particularly during long event days
- 100% presence at the office
- A passion for aviation or technology is a plus
